Board Position Descriptions & Bylaws

The Board of The Powell River Community Radio Society (operating CJMP 90.1 FM: Powell River Community Radio) is composed of PRCRS members who are elected as directors each year at our Annual General Meeting (AGM) by members in good standing of PRCRS . Board members serve for at least 1 year, and may run for re-election at the AGM. The Board is responsible for station operations and to the CRTC and government bodies that permit us to run a non-profit community radio station; also the Board is tasked with maintaining standards and adhering to CJMP’s mission, values purposes (see here), and policies.

Changes to our bylaws were voted on and accepted unanimously at our Nov. 10, 2011 Annual General Meeting and have been filed with the Registrar. Until they are accepted, we cannot change the actual bylaw document. The changes are to the following clauses:

26 (2) Elections will be held to elect a slate of directors, with offices set by the newly elected board.

33 While the president is the de facto  chair of all meetings of the directors, and the vice-president as his/her alternate, the directors present may choose one of their number to be the chair at board or society meetings.

40 (1) The president may preside at all meetings of the society and of the directors, unless a quorum of the directors choose otherwise.

41 In the president’s absence, the vice-president must carry out the duties of the president unless a quorum of the directors choose one of their number to do so.

58 A notice may be given to a member, either personally, by phone, by mail to the member at the member’s registered address, or by e-mail.

61 On being admitted to membership, each member is entitled to, and upon request of said documents, the society must give the member without charge, a printed or electronic copy of the constitution and bylaws of the society.

PRCRS currently has no Executive Director or Station Manager, which is why the Board members are responsible for certain duties, but it is expected that Board members will delegate certain tasks to responsible members of CJMP, in order to increase station capacity and to nurture future Board members. Board members are guaranteed to learn lots about all sorts of different aspects involved in Community Radio, as well as gain valuable experience in a leadership role!

All Board members have the equal right to vote on matters that pertain to the governance and operations at CJMP. Each Board member is also a liaison for a Working Group (POM-POM-Fun, Operations, Programming, Technical). Board Member Tasks by Office, in addition to those linked to above.

President

  • responding to emails to the admin account; directing these and responding in a timely fashion
  • representing the board via emails

Vice President

  • sending out cards (member and thanks, etc.) direct traffic generally, in person, by phone or email, or mailed materials.

Secretary

  • maintaining the membership roster
  • make sure the meeting+events calendar is updated and accurate

Treasurer

  • managing mailing groups and liaising with team leaders and board

Operations Director

  • buying materials (keep receipts always!) like stationery, stamps, etc.
  • Maintain a proper ‘look’ and ‘feel’ for the station (can include tidying up and even renovations)
  • Keep an eye on program logs (with back-up from 2nd Board Member)
  • making sure the cjmp schedule is correct and update it.
  • Liaise with record labels and other media (eg. magazines– many of them will give us free subscriptions, I hear) re: getting content; passing this content onto appropriate volunteers.
  • liaise with programmers/board on occasion re: all of the above

Director of Communications

  • maintain the blog /website
  • produce graphics
  • maintain the Facebook, Twitter, and YouTube accounts (ie. social media)
  • liaise with media (put important meetings on www.powellriverdirect.com, shaw tv scroll, coast cultural alliance, powell river arts council newsletter, make sure programmers get notices to read out loud on air, add CJMP-specific content to the blog and to posters, etc.
  • Help with organizing Public Meetings

Director of Volunteer Engagement

  • Handle printing and make sure posters are put up in time
